Office Assistant/Clerk
Japan International Cooperation Agency (JICA) is seeking candidates for the position of Office Assistant/Clerk (1 year outsourcing contract with possible prolongation).
This position as Office Assistant/Clerk is based in Tashkent and covers mainly 4 duties: 1) Receptionist, 2) PR assistant, 3) Health Administrator (HA)* assistant, 4) General Affairs / Accounting assistant. The candidate is required multi-tasked logistical skill and communication skill to smoothly complete instructed tasks and is expected have a positive and proactive attitude to assist persons mainly in charge of the above 4 duties.
Since the division of duties within the office and your assignment would change in the future, so your duty may change accordingly. However, this position offers a career development opportunity as a receptionist and logistical specialist.
Primary responsibilities are:
- Receptionist: warmly welcome guests with smiles, accept and transfer the telephone calls accurately, call outside when the other staff ask, serve a cup of tea to guest (in case of the Tea lady absence), etc.
- PR assistant: update and edit the website regularly, post articles on JICA SNS (mainly Facebook), , work with the PR team to come up with and implement new strategies for better PR, collect articles about JICA on mass media and share with colleagues, etc.
- HA assistant: arrange appointment with clinics and hospitals for medical check up and treatment of JICA related persons (Japanese staff, local staff, JICA experts and volunteers etc) , accompany to clinics and hospital, provide interpretation / translation, business trip to regions to assist HA.
- General Affairs/Accounting assistant: draft simple procurement and payment documents, simple administrative documents (greeting letter, appointment request etc.), coordinating drivers/office car schedule, booking meeting rooms, copy documents and scan to PDF, send documents domestically or internationally by courier service (DHL etc), arrange office recreation (welcome /farewell parties etc.), input date in the system etc..
- Others: to be assigned by supervisors
Education
Bachelor's degree.
Professional requirements
- Ability to work collaboratively with teams as constructive team member.
- Excellent and effective written and verbal communication skills in English.
- Excellent proficiency in English, Russian and Uzbek languages
- Willingness to learn and understand the Japanese culture and business manner
- Good proficiency with Microsoft software (e.g., Word, Excel, Teams, Outlook, PowerPoint, and SharePoint)
- Experience of working in different cultures and the multicultural environment is a plus.
- Be a citizen of the Republic of Uzbekistan (possessing more than one citizenship is also acceptable as long as being a citizen of the Republic of Uzbekistan).
- No criminal records
- More than 3 years of experience in similar jobs is preferable.
