Full Job Description
Summary
We are looking for a front desk team member at Hotel Manor, who would be responsible for greeting visitors, assisting employees, and delivering exceptional customer service assistance. This entails answering calls and fielding them accordingly, addressing visitor and employee questions and needs, and providing an overall welcoming environment.
Duties and Responsibilities include, but are not limited to:
- Acts as a receptionist and provides administrative services to various departments on an as-needed basis
- Answers incoming calls in a polite and friendly manner, transfers calls as appropriate
- Assists with requests for postage and the receiving and distributing of mail
- Handles Scaled lobby vehicle reservations
- Assists with entering time-off data and meetings into the Out Calendar
- Handles various clerical tasks (filing, fax, laminating and copier requests)
- Greets and processes visitors in accordance with Scaled’s visitor policy
- Handles the distribution, ordering and inventory for office supplies for the company (with oversight of senior management).
- Maintains a high degree of confidentiality.
- Acts as backup travel coordinator
- Assists other members of the administration team, as needed

Required Qualifications:
- A high school diploma or its equivalent and 2 years of related experience (desirable)
- Must be proficient in the following: personal effectiveness, judgment, team development, communication, and customer satisfaction.
- Must have attention to detail and organization skills
- Must be able to understand and implement Scaled’s visitor policy and badging requirements
- Ability to handle a high volume of incoming calls on multiple lines
- Must be proficient in Microsoft Office programs (MS Word, MS Excel, MS PowerPoint and MS Outlook)
- Prior experience in travel logistics preferred
- May at times be asked to support staff in assigned project-based work

Essential Functions
- Requires mobility and the ability to bend and reach
- Clearly communicate verbally and in writing
- Ability to sit for prolonged periods of time
- Move materials weighing up to 10 pounds on a regular basis such as files, books, office equipment, etc. May infrequently require moving materials weighing up to 40 pounds.
- Manual dexterity and coordination are required (e.g., to operate computer keyboard)
- Vision at close distances and the ability to adjust focus
- Work schedule: in one day from 08:00-20:00
- All other questions can be asked during the interview.
