Event Logistics Manager
The Event Logistics Manager coordinates and manages all logistical aspects of fairs, events, demos, and exhibitions/trade shows to ensure seamless execution and alignment with organizational objectives. This role requires strong project management, organizational, and communication skills to effectively liaise with vendors, carriers, freight forwarders, customers, and internal teams.
Key Responsibilities:
- Logistical Planning and Coordination:
- Develop and implement detailed logistics plans for each event, covering scheduling, budgeting, transportation, customs clearance, and resource sourcing.
- Coordinate with vendors, suppliers, carriers, and internal departments to secure necessary resources and services.
- Oversee the setup, operation, and breakdown of exhibition spaces, ensuring timely delivery of all materials and equipment according to specifications.
- Manage the yearly events schedule to maximize HYPERVSN equipment utilization.
- Vendor and Supplier Management:
- Source and manage relationships with third-party vendors, including freight forwarders, carriers, customs brokers, and warehouses.
- Negotiate terms to secure optimal pricing and quality while meeting deadlines.
- Monitor vendor performance and address any issues to uphold service quality and event standards.
- Inventory and Equipment Management:
- Maintain an understanding of exhibition inventory.
- Coordinate transportation, storage, and maintenance of exhibition materials and equipment to prevent disruptions.
- Budget Management:
- Prepare and manage budgets, ensuring alignment with projected expenses.
- Track expenses throughout the event lifecycle and provide post-event financial reports.
- Communication and Coordination:
- Serve as the primary point of contact for all logistical aspects, liaising with exhibitors, customers, and freight forwarders.
- Ensure clear, timely communication among team members, vendors, and customers for smooth execution.
- Oversee adherence to timelines and manage all logistical aspects to run according to plan.
Required Skills and Qualifications:
- Advanced level of English.
- Bachelor’s degree in Logistics, Business Administration, Procurement, Foreign Trade, Operations, or a related field.
- Strong organizational, multitasking, and time-management abilities.
- Excellent negotiation and communication skills.
- Ability to manage budgets and deliver cost-effective solutions.
- Flexibility to work extended hours when required to address issues.
