Back Office Specialist
The employee in this position is responsible for:

Systematic maintenance and timely submission of reports for the Sales and Distribution Department;

Formation of databases for the Sales and Distribution Department;

Performing other duties as outlined in this Job Description.
QUALIFICATION REQUIREMENTS

Education: Higher education.
-
Work experience: At least 1 year in the sales or marketing department of consumer goods.

Language proficiency: Fluent in Russian. Knowledge of the state and English languages is desirable.
Special knowledge and personal qualities:

Knowledge of regional sales specifics and the supply chain.

Advanced user skills in MS Office, Power BI, SAP, and Outlook.
-
Interpersonal communication skills.
-
Knowledge of occupational safety rules and regulations.
JOB RESPONSIBILITIES

Sales Marketing Improvement Project
-
Forms and provides data for planned rerouting through Excel.
-
The document must be approved by Territory Sales Support Managers and submitted at least once every 2 months.
-
Unplanned rerouting
-
Makes changes in the CHICAGO program for transferring territories and sales points between Sales Support Specialists.
-
Updates the rerouting database when new employees are hired.
-
Creating new sales points
-
Enters new sales points in the CHICAGO program and links them to the assortment within the Sales Support Specialist’s territory between route updates.

Changing the status of Sales Support Specialists
-
Makes changes in the CHICAGO program when the status of sales points changes: closing, removing, adding to the route, or moving equipment.

Report generation
-
Generates and distributes reports from Power BI and Excel upon request from Regional and Territory Sales Support Managers.

Training new employees
-
Trains Territory Sales Support Managers and new employees on how to use the company’s mobile applications and tablets (PPC), including CHICAGO.

Monitoring task performance
-
Monitors the correct execution of tasks by Sales Support Specialists in the CHICAGO application.

Informing about changes
-
Timely informs Sales and Distribution Department employees about changes in the CHICAGO program and provides technical support.
-
Staffing and product updates
-
Reports on staffing changes, product updates, and other changes related to field employees.
-
Data verification
-
Verifies the accuracy of regional and city data with CHICAGO using Power BI and Excel, and reports any discrepancies to management.
-
Tracking tablets and mobile devices
-
Maintains documentation for the movement of tablets and mobile devices for accounting purposes.

Creating programs in CHICAGO
-
Assists in creating sales and consumer programs upon request from the Sales Marketing Improvement Unit.

Document management
-
Organizes the proper maintenance, storage, and archiving of Sales and Distribution Department documentation.
-
Employee support
-
Provides comprehensive support to the Sales and Distribution Department staff and coordinates their interaction.
-
Organizing events
-
Assists in the preparation and organization of conferences, meetings, and other events at the regional level.
-
Administrative duties
-
Ensures proper reporting and administrative activities, informing staff about changes in the employer’s acts.

Error correction
-
Informs Sales Support Specialists about the need to correct data when errors are found and submit missing documents.

Other assignments
-
Performs other assignments from direct and senior management.

Safety compliance
-
Complies with occupational safety, safety regulations, work schedule, and sanitation standards. Reports to management about any situations threatening life and health, as well as accidents at work.
